Conflict of Interest

Conflicts of Interest (COIs), also known as 'competing interests,' arise when external factors could reasonably be seen to influence the impartiality or objectivity of research or its evaluation. This can occur at any stage of the research process, including during experimentation, manuscript preparation, or the transition to a published article.

In case of uncertainty, it is important to disclose potential conflicts of interest or consult with the editorial office. Failure to disclose interests may result in sanctions, and submissions with undisclosed conflicts that later come to light may be rejected. Published articles might need re-evaluation, corrections, or even retraction in serious cases.

While conflicts of interest don't necessarily prevent work from being published or involvement in the review process, they must be declared. A clear declaration of all potential conflicts, regardless of their actual influence, enables informed decision-making by others involved in the work and its assessment.

Post-publication discovery of conflicts of interest can be problematic for authors, editors, and the journal, possibly necessitating corrections or a review process reassessment.

Conflicts of interest encompass various areas, including:

- Financial interests such as funding, payments, or services related to the research topic

- Affiliations with organizations having an interest in the research outcome

- Intellectual property ownership, like patents or trademarks

- Personal relationships, including family and close connections

- Ideological beliefs or activism relevant to the research

- Academic connections, including competitors or those critiquing the work

1. For Authors

Requirements:

  • Mandatory Disclosure Statement upon submission, including:

    • Financial ties (e.g., grants, consultancies, stocks, royalties)

    • Personal relationships

    • Employment affiliations

    • Intellectual property interests (e.g., patents)

  • Declare whether any funding source had a role in:

    • Study design

    • Data collection/analysis

    • Decision to publish

    • Manuscript preparation

Implementation Tips:

  • Include a standard COI declaration form in the submission system.

  • Publish disclosed conflicts alongside the article.

All potential conflicts of interest (competing interests) that could have a direct or indirect influence on the work must be disclosed by the authors. Even if an author does not have a conflict, disclosing affiliations and interests allows for a more comprehensive and open approach, which leads to a more accurate and objective evaluation of the work. Conflicts of interest, whether genuine or imagined, are a perspective to which the readers are entitled.

The publication of a conflict statement in the article itself, as well as the submission of the conflict disclosure form, is required for all types of papers. It is not necessarily the case that a monetary relationship with examination support or funding for counseling work is inappropriate. Even if the authors do not have any conflict of interest, they still need to provide a confirmation statement in their manuscripts, i.e., “The author(s) confirm(s) that there is no conflict of interest related to the manuscript.”

Authors must disclose any recent funding, including article processing charges, and other payments or services that could influence the research. This information should be included in the funding statement.

The involvement of individuals not listed as authors but who have an interest in the research outcome or are affiliated with relevant organizations must be declared. These declarations are considered during the editorial and review processes.

Note: If any conflict arises after submission, the authors must immediately inform the Editorial Office.

2. For Editors (including Editor-in-Chief and Editorial Board)

Requirements:

  • Editors must recuse themselves from handling submissions where they have:

    • Personal or professional relationships with the author(s)

    • Financial stakes in the outcome

    • Institutional conflicts (e.g., same university)

  • Editors must not make decisions on manuscripts in which they appear as authors.

  • Annual disclosure of financial and professional affiliations.

Implementation Tips:

  • Establish a system for delegating editorial decisions to unbiased editors.

  • Publish a conflict disclosure page for editors (updated annually).


Editors must not review submitted manuscripts if they have any personal, professional, or financial involvement with the authors. Every participant involved in the peer review process, including editorial board members, reviewers, and editors, must declare any potential conflicts of interest to ensure a transparent and unbiased review activity.

Editors-in-Chief or Editors who are responsible for the initial and final decision should recuse themselves from reviewing or take decisions on any manuscript that is written by authors affiliated with the same institute as the editor, or if they have been a family member, competitor, collaborator, or have published any manuscript in the last 3 years with the authors associated with the manuscript. They can, however, nominate someone else on the Board who could provide a neutral opinion on the manuscript.

Manuscript submission by an Editor/Editor-in-Chief
The initial and final decision on the manuscripts submitted by an Editor/Editor-in-Chief will be taken by any other member of the Board. The Editorial Office will identify members who do not have any potential conflict of interest with the Editor or Editor-in-Chief.

3. For Reviewers

Requirements:

  • Reviewers must declare COIs before accepting an assignment, including:

    • Personal relationships (e.g., co-author, mentor, competitor)

    • Financial interests

    • Institutional affiliations (current or recent)

  • Reviewers should decline reviews where conflicts exist or even appear to exist.

Implementation Tips:

  • Use a pre-review COI checklist in the review invitation.

  • Provide examples to help reviewers assess potential conflicts.


4. For Journal Staff and Publishers

Requirements:

  • Journal management and publishing staff must not:

    • Influence editorial decisions based on business interests

    • Exploit privileged manuscript information

  • Must disclose ownership interests, if any.

Implementation Tips:

  • Maintain editorial independence agreements.

  • Have a firewall between editorial and business operations.

All conflicts, when disclosed, will be thoroughly evaluated and managed in an appropriate manner. Undisclosed conflicts discovered post-publication may result in correction, expression of concern, or retraction.

Breach of Policy

Failure to disclose a conflict of interest may result in:

  • Rejection or withdrawal of the manuscript,

  • Correction, expression of concern, or retraction,

  • Exclusion from future submissions or reviews,

  • Notification of the author’s institution.
